Here, we explain how AVAMIGRATRON migrates your emails, Calendar, Contacts, and Tasks from Gmail to Outlook in the most secure and seamless way possible.
An easy 5-step process to make your migration simple and effective!
1. Settings – Kick start your transition!
In the settings module, we configure and connect both the source Gmail and target Outlook environment with our tool.
Source Settings
In the source settings, the user must create a G–Suite app as per our G-Suite app creation guide. Once done with the app creation, the user needs to provide the required app credentials. After fulfilling all the validation processes and permissions, the source Google Workspace will be connected to our tool.
Target Settings
An Azure app must be created based on our Azure app creation Guide. After creating the Azure app, the user needs to provide the required app credentials. Now all the authorizations will be validated, and the target Office 365 environment will be connected to our tool.
Voila! source and target are connected.
2. Inventory – Get in-depth insights into your source data and move ahead with clarity!
We understand that migration planning is crucial for your Gmail to Outlook transition. To help you simplify your migration process, our tool provides a detailed inventory of your emails, Calendar, Tasks, Contacts, Shared Users, forwarding rules, list of Alias Mail IDs, and the overall mailbox size. AVAMIGRATRON is the only Gmail to Outlook migration tool, that can provide you with a detailed inventory of your source Gmail environment.
Flexible inventory features
Depending upon your need, you can get either a full inventory or a custom inventory. But fetching a full inventory firsthand will help you evaluate the volume of your data and prioritize the list of things you need to migrate primarily.
Full inventory
You can fetch details on the overall count of emails, contacts, tasks, and events for all users in your Google Workspace.
Custom inventory
In AVAMIGRATRON, you can get customized inventory for desired applications and users. Also, for emails, you can customize and fetch the inventory for a specific timeframe!
3. User mapping – The most essential step in your data migration process!
In user mapping, all the source Gmail users will be mapped to the relevant Office 365 users. By leveraging the inventory features, we verify and ensure that all the users are mapped appropriately.
4. Migration – Transform to the Outlook experience!
All your data will be successfully migrated from Gmail to Outlook based on user mapping. Depending upon your unique enterprise need, AVAMIGRATRON enables you to perform both full migration and custom migration.
The Types of Migration
Full migration
You can migrate the emails, the Contacts, Tasks, and Calendars of all the users.
Custom migration
You will have the flexibility to migrate the specific users’ Gmail and Gmail applications. You can migrate specific Gmail apps based on your need.
The best part about custom migration for emails is that you can migrate the emails of a specific time just by specifying the ‘From’ and ‘To’ date.
Batch migration
You needn’t migrate all your Gmail and Gmail apps at one point in time. You can migrate them in batches based on your requirement and priority. For instance, if migrating emails is a high priority for you, you can easily migrate your emails in the first batch. Followed by you can migrate Contacts, Tasks, and Calendars in the succeeding batches based on your priority. Also, by migrating your data as batches, you can accelerate the pace of your migration and avoid throttle issues during the migration.
Gmail migration
In Gmail migration all the mails will be migrated from Gmail to Outlook based on user mapping. All the folder mails like Inbox, Drafts, and Sent, will be migrated to the relevant Outlook folders. All the attachments and contents that were shared by the users in their Gmail will also be migrated to the target Outlook account.
The ‘From’ and ‘To’ addresses will be replaced according to the user mapping. If you have not mapped your users, it will remain as the Gmail email address.
*All the metadata properties like date and time zone
*For all the custom email folders you created in your source email environment, a new/equivalent folder will be created in outlook and your mails will be retained in the folders accordingly.
Google Contacts Migration
Google contacts will be migrated to the equivalent Office 365 People. The contacts with all the fields will be migrated to the equivalent Office 365 people’s field.
*For all the custom Contacts folders you created in the source Google Contacts, a new/equivalent folder will be created in Outlook and your Contacts will be retained in the folders accordingly.
Google Tasks Migration
All the Google Tasks will be migrated to Office 365 To-do along with the due dates, reminders, repeat options, and notes.
*For all the custom Tasks folders you created in the source Google Tasks, a new/equivalent folder will be created in Outlook and your Tasks will be retained in the folders accordingly.
Google Calendar Migration
Based on the user mapping, all the Gmail users’ Calendar events will be migrated to the parallel Office 365 user’s Calendar. All the events in the Calendar like meeting agenda, notes, attachments, and recurring events will be migrated.
*For all the custom Tasks folders you created in the Google Calendar, a new/equivalent folder will be created in Outlook and your events will be retained in the folders accordingly.
Incremental migration – Retain your last-minute data!
While performing the initial migration, there would be additional mail growths and changes happening in the source Gmail environment. With AVAMIGRATRON, you can take inventory of the additional/last-minute data growths and migrate them to your target Office 365 environment. This will ensure that you are migrating only the incremental data and not duplicating any of the items that you have already migrated during the initial migration.
5. Report – Get live updates and track the progress of your migration then and there!
In most third-party migration tools, you will be updated about the progress of the migration through emails. AVAMIGRATRON is the only Gmail to Office 365 migration tool that provides live updates about the progress of the migration through intuitive dashboards.
In the reporting module, you can view the respective Gmail and Office 365 mappings, the list of items that are migrated successfully, the status of the migration along with the required definitions.
*The reports can also be exported and downloaded as an Excel document!
